Job purpose of Project Coordinator:
To be responsible for coordinating activities and resource support for implementation projects as part of a larger program. Function as the on-site liaison between Kiev development leads and US-based project management resources. Project coordinator will be responsible for collecting and organizing status updates from all Kiev teams, updating MS Project plans, organizing meetings, participating in risk evaluation, and collecting and escalating issues to resolution.
The principle objectives for the Project Coordinator are to off-load project administration responsibilities from technical Team Leads, and to provide single point of contact for all project management functions to US-based management team. Project coordinator will formally report to local Kiev-based management team, but will take day-to-day direction from US-based CTO and project manager.
Key duties/responsibilities of Project Coordinator:
— Assist with the development, maintenance and on-going evolution of a complex, multi-track program plan.
— Work one-on-one with Kiev-based team leads to provide project plan updates, status updates, and escalate outstanding questions in need of resolution.
— Work one-on-one with US-based project manager to meet client needs surrounding collecting, reporting and communicating all essential program-related information.
— Create and manage on-going risk and issue log. Escalate issues and drive towards resolution.
— Provide weekly reports on status, risks and issues.
— Coordinate meetings between Kiev-based development teams, Germany-based partners, and multiple US-based teams, including scheduling, providing meeting notes and action items.
— Handle all administrative functions pertaining to Program, including supporting travel plans, time reporting, and other administrative duties.
— Maintain program calendar, standing meeting schedules, intranet site and documentation repository updates.
— Compile and manage on-going updates to all process documentation related to the program. Publish updates across team, and act and single point of contact for questions from all Kiev-based team members.
— Support US-based Project Manager and Business Analysts in facilitating communications with Kiev-based teams on an as-needed basis.
Key requirements of Project Coordinator:
— Strong spoken and written communications skills, in both Russian and English. German is a valuable bonus.
— Working familiarity with MS Project (ideally 2010). Strong skills with Excel and PowerPoint.
— At least 3 years of project management-related experience in software or web development environment.
— Understanding of the software development lifecycle, including requirements documentation and quality assurance processes.
— Flexible hours to be able to work with US-based teams, as well as those based in Kiev and Germany.
— Meticulous attention to detail, quick learner who can analyze information, work as part of a large, dynamic, multi-cultural team, and who can make recommendations for improvements.
— Assertive self-starter who can function with minimal local supervision, takes initiative and who is eager to learn.
— Experience working with US-based teams preferred.
— Having a positive attitude and being a committed team player is critical.
— Potential ability to travel to US or Germany, if needed.
